About the Role
We’re seeking a detail-oriented, highly organized Administrative Assistant to support our Engineering Department! In this role, you’ll provide critical administrative and project support that helps keep our operations running smoothly.
Each day brings something new; coordinating meetings, preparing reports, managing permits, assisting with RFPs and bids, and supporting engineering and construction projects that make a direct impact in our community.

What You’ll Enjoy Doing
You’ll play a key part in keeping the department organized and efficient. Your responsibilities will include:

Providing friendly, professional customer service in person, by phone, and by email.

Managing schedules, calendars, and appointments for staff and leadership.

Preparing and proofreading correspondence, forms, and reports—sometimes confidential.

Coordinating and supporting department meetings, including agendas, minutes, and logistics.

Assisting with invoices, purchase orders, and budget tracking.

Maintaining organized files, databases, and digital records.
-
Ordering and tracking office supplies and materials.
-
Assisting with research, data entry, and report preparation.

Communicating with City staff, vendors, and residents to answer questions or resolve issues.
Special Projects You’ll Help With
You’ll also support several key departmental functions, such as:
- Bidding of RFPs: Work with the Purchasing Specialist to make sure paperwork is accurate, advertise projects, and assist with pre-bid meetings and bid openings.

Street Light Tracking: Coordinate with street light vendor to track streetlight repairs. Maintain daily and monthly logs, follow up on work status, and prepare weekly/monthly reports for leadership on completed and outstanding requests.

Change Orders & Pay Applications: Process and track documentation for change orders and pay applications.

Right-of-Way (ROW) Permits: Receive and process ROW permits and other related ROW tasks.

ROW Website Management: Keep the ROW website updated and accurate.

Council Items: Upload and input council items weekly.

Project Closeouts: Help with closeout documentation for development and capital projects.
What We’re Looking For

High school diploma or GED.

At least three (3) years of administrative, clerical, or secretarial experience—or an equivalent combination of education and experience. Experience within an Engineering environment preferred.

Strong organizational skills and attention to detail.

Great communication skills—both written and verbal.

Proficiency in Google Suites and comfort with databases and online systems.

Ability to manage confidential information with professionalism.

A valid Missouri driver’s license.

Experience with procurement, project tracking, or municipal processes is a plus.

Work Environment
